Assistant to the CTO & IT (m/f/d) - Maternity Leave Replacement
We are currently offering a full-time position (maternity leave replacement) as an Assistant to support our CTO and the IT department. You will be primarily supporting and reporting to the CTO, secondly supporting the IT department.
YOUR
TASKS
Assistance to CTO
* Acting as a first point of contact: dealing with correspondence and phone calls
* Booking and arranging travel, transport and accommodation
* Reminding the manager/executive of important tasks and deadlines
* Typing, compiling and preparing reports, presentations and correspondence
* Liaising with staff, suppliers and clients
* Detailed and active calendar management
* Coordinating external and internal meetings and events, conference calls, etc. incl. calendar invitations, attendee management, materials preparation, room reservation and troubleshooting
* Providing guest hospitality and assistance
* Invoices handling (check and getting approvals)
IT Administration
* Invoices handling (check and getting approvals)
* Procurement (place orders, file documents, checking incoming deliveries)
* Contacting suppliers for any kind of requests (invoicing, delivery, etc.)
* Contracting (NDAs, hardware maintenances, service pools)
* Managing shipment of hardware including custom declaration
* Handling warranty cases (except for notebooks as this will be the demarcation to the Service Desk)
* IT asset management (registering new assets, entering maintenance contracts and service pools into our database, keeping the database up to date)

* A knowledge of standard software packages (MS Office, Outlook) and the ability to learn company-specific software if required.
